Smart access to know-how for technology, sales & support
SOLTOP Energie AG has rethought its internal knowledge access with the specially developed Microsoft 365 Copilot Agent. The solution focuses on technical documentation, an area that was previously highly fragmented and difficult to access. In addition, documents for sales and, in future, for external parties and end customers will also be made accessible. The use of Microsoft Copilot Studio and in-depth data preparation has created targeted access to relevant information that measurably improves both internal support processes and service quality.
SOLTOP Energie AG, based in Elgg ZH, is a leading Swiss provider of renewable energies. With a diverse product range from solar systems to heat pumps and a strong focus on innovation, quality and sustainability, the company supports installation companies, planners and end customers in Switzerland and beyond.
Online Consulting’s solution was the first practical introduction to the productive use of generative AI in the company. A specific AI agent was developed that provides technical knowledge in a targeted and understandable way for internal use, particularly for the target groups “Technology, Sales & Customer Service”. Thanks to an iterative approach, the solution was continuously optimized and adapted to the needs of the employees.
The solution
The “SOLTOP Knowledge Copilot Agent”, also affectionately known as “Sunny”, was developed in Microsoft Copilot Studio and made available internally via Microsoft Teams.
- Documents are provided manually in SharePoint Online and processed by the Copilot Agent.
- The agent can answer questions about technical documentation and provide relevant content from tens of thousands of files (CAD drawings, instructions, data sheets, etc.).
- If necessary, a company-specific vector search index is connected via Azure AI Search to increase the response quality.
- In future, the solution will also allow multimodal data processing (e.g. images, videos) and integration with ERP or CRM systems.
The entire introduction was accompanied by targeted test phases in which the employees received practical training and were involved.

How SOLTOP benefits from the Copilot Agent
Quick access to relevant knowledge
Employees can access the AI agent “Sunny” directly in Microsoft Teams and ask questions about technical documentation without having to search through the G:drive or ask colleagues.
Relief of central knowledge persons
The democratization of knowledge reduces dependence on individuals. Know-how remains accessible and usable within the company.
Improved response time in support
The Copilot Agent provides quick answers to common questions, both internally and externally. This leads to shorter throughput times in customer service and more efficient processes.
Iterative further development
The solution has a modular structure and can be expanded in further steps to include additional functions and target groups, from segmentation by role to connection to existing systems.
Data security and transparency
The solution is operated in SOLTOP’s own Microsoft tenant. All data is encrypted and meets Microsoft’s current compliance requirements.
Change management including
training, test phases and accompanying communication ensured a high level of acceptance and a better understanding of the use of generative AI in practice.
SOLTOP’s success story shows: With a structured and pragmatic approach, entering the world of Microsoft Copilot and AI-supported assistance systems can be easy and sustainable, and knowledge within the company becomes a real productivity booster. Thanks to the evaluation of the chats on anonymized data, SOLTOP learns which topics and content employees are interested in and can thus improve measures for the internal further development of processes or “Sunny” in a targeted manner.
Thanks to the competent support from Online Consulting AG, we were able to develop and implement our AI bot “Sunny” efficiently. The collaboration was always structured, solution-oriented and characterized by mutual trust.
